Privacy Policy
1. What we collect
When you sign up for job alerts:
- Email address (how we send you job alerts, sign-in links, and receipts)
- ZIP code and job preferences from the signup quiz
- Consent records: the disclosure you agreed to, timestamp, and IP address
- Approximate location inferred from your IP at signup (used to sharpen job matching until you provide a ZIP)
- Email activity (opens, clicks, and delivery results such as bounces) so we can stop emailing an address that does not work and show you a way to fix it
- If you were referred, or you refer someone: the referral connection and the signup IP address, used only to keep the referral program honest
- Basic ad attribution (e.g. which campaign brought you here)
- Which step of signup you reached, so we can see where the process is confusing and fix it
- Your IP address for security and abuse prevention (rate limiting), kept only as long as needed for that purpose
If you use the Wimtro apply service, your driver profile adds:
- Your name
- An application phone number — the number employers ask for and call. We use it only to complete the applications you approve. We do not send marketing text messages to this number.
- CDL class, endorsements, license number, and a photo of your CDL if you provide one
- Date of birth, address history, employment history, and accident and violation history where an application you approve requires it (the information federal driver rules ask for)
- A resume, only if you choose to upload one, used to help complete applications
- A copy of each application we submit for you (your receipt)
What we never collect or store: Social Security numbers and payment information. If an application requires an SSN, that step is yours to complete and it never passes through our storage.
2. How we use it
- To send you the job-alert emails you signed up for, matched to your preferences
- To prepare and submit the specific applications you approve, and nothing else
- To keep our email deliverable and to keep the referral program honest
- To measure which jobs and campaigns are useful
3. How your profile is protected
- Sensitive profile fields (license number, date of birth, address history, employment history, accident and violation history) are encrypted before they are stored. Our database never holds them in readable form.
- CDL photos and resumes live in private storage with no public links, read only by our servers to complete an application you approved.
- Your application phone number is never used to text you marketing and is never passed to our email or any text provider as a marketing contact.
- Profile data is never used for advertising and never sold. Ad platforms receive only a hashed identifier, never your profile.
- Your profile is shared with exactly one kind of recipient: the employer or application platform of a job you approved, inside that application.
4. Service providers we share with
We share the minimum needed with vendors that operate the service on our behalf, under contract and only for that purpose: our email delivery provider (to send the emails you requested), an email-verification provider (to check at signup that an address can receive mail), our cloud database and file storage, and the automated browser service that completes an application you approved. We do not sell your personal information, and we do not share it for cross-context behavioral advertising.
5. Job links and applications
Job links go to third-party employers and job platforms under their own privacy policies. When you approve a job, we submit your profile information to that employer or platform as your application. That is the only circumstance in which your profile leaves Wimtro.
6. How we use AI
We use artificial intelligence in two places, and it can make mistakes.
- Reading job postings. A language model reads each job description and extracts details such as licence class, route type, freight and location. That is how we decide which jobs to show you. Only the employer's own posting text is sent to that model — never your profile, your name, your email, or anything else about you.
- Filling out applications. When you approve a job, an automated browser agent enters your profile information into the employer's application form. Your information goes to that employer or platform as your application, exactly as described in Section 5.
Because these systems are automated, a job may be categorised or located incorrectly, and an application may be filled in with an error or fail to submit. We keep a receipt of everything submitted for you so you can see exactly what was sent, and anything the agent cannot finish is flagged on your board for you to complete yourself. No automated decision we make produces a legal or similarly significant effect about you — we decide which job listings to show you, not whether you are hired.
7. Your privacy rights
- Unsubscribe from job-alert emails using the link in any email
- Ask us to pause or delete your driver profile at any time
- Request access to, correction of, or deletion of your personal information by emailing hello@wimtro.co (we retain what the law requires us to keep)
- California residents have the rights to know, delete, correct, and to opt out of the sale or sharing of personal information. We do not sell or share your personal information, and we will not discriminate against you for exercising these rights.
8. Retention
Consent and opt-out records are retained for at least 5 years as legal evidence. Application receipts are retained for 3 years. Your profile and files are kept while your account is active and deleted on request. If you opt out, we stop emailing you but retain the record that you opted in and out.
9. Text alerts (optional, only if you opt in)
Wimtro runs on email and does not text you unless you separately opt in to text alerts. If you ever opt in, the following applies to your mobile opt-in data:
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with, or sold to, any third party. Information sharing with subcontractors in support services, such as message delivery, is permitted: we would share your phone number only with our SMS delivery provider, acting as our service provider, solely to deliver messages you requested. The number used for text alerts is separate from the application phone number in your profile. Message frequency varies. Message and data rates may apply.
